Online portal and online UBO registration form for Allianz
Allianz, a global leader in insurance and financial services, needs to receive completed UBO forms from approximately 15,000 clients so they can process them in the Sanctions Platform.
If a person has more than a 25% interest in a general partnership, private limited company or public limited company, he/she is required by law to register in the UBO register.
To prevent criminals such as terrorists from laundering money or hiding behind a false identity, organizations are legally required to verify the identity of UBOs. This allows them to determine which natural person is the ultimate beneficial owner of a legal entity.
Since Allianz does not have an email address for every client and wants to carry out this process with as little manual intervention as possible, Fenêtre was asked to manage the process of requesting UBO data via a multilingual online form.

Making the online UBO form available to clients
The UBO form, developed with Diamond Forms, Flows & Docs, is made available to Allianz clients via a URL. They receive a letter with the URL, client number, and the password created through the portal.
To make it as easy as possible for clients to complete the form, the imported client information has been pre-populated as much as possible. The UBO declaration can include the information of all stakeholders. The form itself is available in Dutch and English and can be digitally signed. Signing the form implies the client agrees to report any changes.

An online portal for Allianz employees
The online portal, developed using the Silicon low code platform, is only accessible to Allianz employees. In addition to creating and managing users, Allianz can import Excel files containing relationship data. This data is stored encrypted. A unique password is created for each relationship during the import process.
If the clients data is added or modified while entering the UBO data, this information will be visible in the portal. Filtering is possible and the data can be exported separately. This allows Allianz to simultaneously update its own systems.
